What we hear
What happens when the till and the folio are strangers.
None of this is a staff problem. It is two systems that were never introduced.
1
Dockets travel by hand
A drink at the bar is written on paper and walked to reception. Anything that does not arrive never gets billed.
2
Night audit rekeys the day
Outlet totals typed into the property system by hand, at 2am, by someone who has been on shift for ten hours.
3
Disputes you cannot answer
A guest questions a line at checkout and nobody can show who served it, when, or at which outlet.
Step by step
How the connection works.
Four moments, and the guest only notices the last one.
01
Guest checks in
The room, the guest name and the folio appear on every POS terminal in the property.
02
Staff charge to room
They search by room or by name, see the guest in front of them, and post the charge in seconds.
03
The folio updates
The charge lands with items, outlet, server and time attached. Reception sees the new balance immediately.
04
Checkout is one statement
Every outlet already on it. Nothing to chase, nothing to reconcile by hand.
Connected
Property systems we work with.
We connect POSFlow to the system you already run, so nothing gets entered twice.
Beds24
Room charge posting, guest lookup by room or name, two way sync and folio close at checkout.
Cloudbeds
Same scope. Charges post to the folio and guest detail flows back to the outlet.
Channel manager sync
Rates and availability sit alongside the folio link, so channel changes are visible from one place.
Running something else?
If your PMS has an open API we will scope it, and most of them do. Tell us which one you run and we will come back with a straight answer before you commit to anything.

In practice
What the integration actually gives you.
Not a nightly data export. A live link between the till and the folio.
Room charge posting from any outlet
Guest lookup by room number or by name
Per outlet reporting, rolled into one property total
A night audit that reconciles itself
Permission control over who can charge to a room
A full audit trail on every posted charge
Straight answers
What we need from you.
API access
Your PMS account with API access enabled. We will tell you exactly which permissions to switch on.
A stable network
Outlets and reception on one reliable connection. We check it before install, not after.
One mapping session
We map outlets, payment types and charge codes with you once. Around two hours.
Your close routine
Tell us how you run night audit and we build around it rather than over it.
Questions
Before you ask us.
Do you support my PMS?
If it has an open API, almost certainly. Send us the name and we will confirm the scope before you commit to anything.
What happens if the internet drops mid service?
The POS keeps taking orders and payments locally. Charges queue and post to the folio when the connection returns.
Can we still take cash and card in the outlet?
Yes. Room charge is one payment type among all the others, including KHQR.
What if a guest changes room?
The charge is held against the guest folio rather than the room number, so it follows them.
Where this matters
Hotels and hostels
Room charges, folios and one bill at checkout.
Restaurants inside a property
In house dining that bills to the room as easily as to a card.
Rooftops and pool bars
An order point far from reception, still on the folio.
Breakfast and grab and go
A counter that posts to the room in two taps.
